Refund Policy

⚠️ Important Disclosure — OTA Platforms Do Not Charge Listing Fees

All OTA platforms (Booking.com, Agoda, Airbnb, Expedia, MakeMyTrip, and others) provide hotel listing free of charge. No OTA will ever ask you for payment to create or approve a listing. The fees charged by ListMyHotel.AI are exclusively for our professional intermediary services — coordination, documentation, AI-powered data extraction, platform configuration, and ongoing support. These fees are collected by HotelKite Inc. and are entirely separate from any OTA platform.

General Policy

All service fees paid to ListMyHotel.AI (HotelKite Inc.) are non-refundable except in the specific circumstances described below. The risk of OTA rejection lies with the client, as OTA approval is an independent process outside our control.

1. When a Refund Applies

A prorated refund is applicable only in the following scenario:

Our failure to submit: If ListMyHotel.AI, due to its own internal failure (and not due to any act or omission by you or a decision by an OTA), fails to submit or process the listing application for a contracted OTA platform, a prorated refund equivalent to the per-OTA setup fee paid for that specific platform will be processed.

Refund calculation: [Per-OTA setup fee] × [Number of OTA platforms not submitted due to our failure]. No other fees, charges, or taxes are refundable.

2. When a Refund Does Not Apply

No refund of any nature is payable in the following circumstances:

  • OTA rejection — if an OTA platform rejects, declines, or withholds approval for your listing due to: failing OTA due diligence; not meeting OTA quality, compliance, or legal standards; inaccurate, incomplete, or fraudulent information; missing or invalid documentation; non-compliance with applicable laws; adverse findings regarding reputation or prior performance; or any other OTA-driven decision.
  • Client-initiated cancellation — once payment is made, you may not cancel or withdraw. No refund is issued for change of mind, business decisions, or choosing an alternative provider.
  • Client delays — delays caused by your failure to provide required documents do not entitle you to a refund.
  • Partial completion — where we successfully achieve Go-Live on 50% or more of your contracted OTA platforms, the service fee is deemed fully earned.

3. Refund Processing

  • Approved refunds are processed within 21 business days of written confirmation of eligibility.
  • Refunds are issued via bank transfer to the original payment source only.
  • Refund claims must be submitted in writing to legal@listmyhotel.ai within 15 calendar days of the event giving rise to the claim. Claims submitted after this period will not be entertained.
  • Refunds are of the base per-OTA setup fee only, exclusive of taxes. A credit note will be issued as required under applicable tax law.

4. Subscription & Recurring Charges

ListMyHotel.AI operates on a one-time, per-OTA pricing model. There are no monthly subscriptions, recurring charges, or hidden fees. The price you see at checkout is the price you pay. No surprise charges will ever appear on your account.

5. Chargebacks & Disputes

If you believe a charge is incorrect, please contact us at billing@listmyhotel.ai before initiating a chargeback with your bank or payment provider. We are committed to resolving billing disputes promptly and fairly.
