Hotelkite Private Limited ("Company", "we", "us") operates the ListMyHotel.ai platform. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our services. We are committed to protecting your privacy in compliance with the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (DPDPA) of India.
Account Information: Name, email address, password (stored as a bcrypt hash — we never store plain text passwords).
Hotel Information: Hotel name, address, city, state, pincode, phone number, website, photos, Google Maps data, star rating, property type, and other details extracted via Google Places API and AI research.
Documents: PAN card, GST certificate, Aadhaar card, trade licence, property images, and other documents uploaded for OTA registration.
Payment Information: Payment transactions are processed by Razorpay. We store order IDs and payment status but do not store card numbers or bank details.
Usage Data: IP address, browser type, pages visited, and interaction data for improving our services.
We use your information to: provide and improve our OTA registration services; process hotel onboarding using AI (Google Places, Perplexity Search, Google Gemini); submit registration applications to OTA platforms on your behalf; process payments and maintain billing records; communicate service updates, status changes, and support; comply with legal obligations.
Our platform uses the following third-party AI services to enhance your experience:
Google Places API: To fetch hotel location, photos, ratings, and business details.
Google Gemini (via AI SDK): To analyze and structure hotel data, generate research insights, and power the AI assistant.
Perplexity Search API: To research hotel details, room types, amenities, and competitor information from the web.
Data sent to these services is limited to what is necessary for the specific function and is subject to their respective privacy policies.
Account and hotel data is stored in a PostgreSQL database hosted on secure infrastructure. Documents are stored on Amazon Web Services (AWS) S3 with server-side encryption (AES-256). All data transmission is encrypted using TLS/SSL. Passwords are hashed using bcrypt with salt rounds. We implement access controls to ensure only authorized personnel can access your data.
We share your information only in the following circumstances:
OTA Platforms: Hotel details and documents are shared with selected OTA platforms for the purpose of registration, as requested by you.
Payment Processor: Transaction data is shared with Razorpay for payment processing.
Legal Requirements: We may disclose information if required by law, court order, or government authority.
We do not sell your personal data to third parties.
Account data is retained for the duration of your account. Hotel and registration data is retained for 3 years after the last activity. Documents are retained for the duration of your account plus 12 months. Payment records are retained for 7 years as required by Indian tax law. You may request earlier deletion by contacting support.
Under the DPDPA 2023, you have the right to: access your personal data held by us; correct inaccurate data; request deletion of your data (subject to legal retention requirements); withdraw consent for data processing; receive your data in a portable format. We use essential cookies for authentication (JWT session token). We do not use third-party tracking cookies or advertising cookies. You can disable cookies in your browser settings, but this may affect Platform functionality.
Our services are not intended for individuals under 18 years of age. We do not knowingly collect personal data from minors.
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Platform after changes constitutes acceptance of the updated policy.
